We hate goodbyes!

 

Moving out of the Village is more than a matter of ripping down the posters, packing up your clothes and legging it out the door… particularly if you want to get your bond back.

So, here are a few pointers to help you organise your last weeks in the Village and make sure you have it all covered!

How to prepare for your check out

Refer to this list as the big day arrives to ensure you don’t forget a thing when it comes time to leave the village for the last time.

  • Update departure date on the Resident Portal
  • Remove all personal belongings and rubbish from your room & apartment common areas
  • Clean your room and share out the cleaning of common areas
  • Book a departure inspection (if applicable)
  • Account paid in full (check Resident Portal)
  • Report any broken/missing items via the Resident Portal
  • Collect mail/parcels from Reception/letter box and re-direct your mail
  • Return your key/swipe card and parking permit (if applicable) to the Village Reception
  • Return your check out pack containing your Key(s)/Swipe Card to the Village reception as you depart the Village

Before departing the Village, please ensure that you collect all personal mail and any parcels from Village Reception.

If you have provided your Village address to any external providers (e.g., bank or University), don’t forget to contact them to update your new address! Note, we do not forward mail, including parcels.

The Village uses the WA Government BondsOnline system, which will make it easier and faster to get your bond back.

Please ensure your email and telephone details are up to date!

Your bond, less any outstanding amount (i.e. cleaning/damage charges) will be refunded back to the account you nominate online with the Bonds Administrator. The Village does not hold your bond and refunds will be processed by the Bonds Administrator (Department of Mines, Industry Regulation and Safety), processing times may vary. Please allow the Village 3 weeks from your contract end date to process your bond release. If you have not heard from the Village or the Bonds Administrator after this 3 week period, please contact the Village for an update.

What is BondsOnline?

  • BondsOnline is fast, easy and secure and is similar to online banking
  • Using BondsOnline for a bond disposal will enable you to get your money back faster via an EFT payment direct into your bank account
  • All parties must approve the disposal within 28 days or it will lapse and the process will need to start again
  • Confirming the disposal details as soon as you receive your email will help you get your money back faster
  • We may ask you to complete an additional identity verification form if your mobile number and email address has changed and you did not notify us
  • If you are moving back overseas please provide us with your overseas mobile number for bond return

What you need to do:

  1. Provide your mobile number and email address on your vacating form in your check out pack
  2. Action the email about your bond straight away
  3. Click on the link in the email and request your access code (SMS)
  4. Login to confirm or correct the details of the disposal
  5. Enter your Australian bank account details or postal address if selecting cheque, click confirm and you are done!

 

Cleaning Information

Take responsibility for cleaning your own room and ensure you share out the responsibility for communal areas – everyone living in the apartment is responsible for the condition of that apartment at the time of check out.

If it’s determined additional cleaning or damage/replacement fees are required, a charge will be placed on your Village account and a copy of the inspection report will be emailed to you.

Departure inspections will take place soon after your check-out time. If you would like a pre-departure inspection, please inform us by emailing residents.joondalup@ecuvillage.com.au at least 72 hours prior to departure (subject to availability).

If you have any unwanted items that can be donated to a charity, check with Reception if there are any donation bins nearby.

Yes, you are required to remove everything from your room and your belongings from the common areas. If you need to store any of your belongings/boxes/suitcases, you will need to make your own arrangements with a local storage company. If you are returning, storage is available at the Village for a fee. See Reception for further information.

Yes, you are required to clean your room and common area to a reasonable standard before departure, otherwise cleaning charges will apply.

Your Cleaning Checklist

  • Remove all personal possessions (anything left will be disposed of and an additional cleaning fee may apply)
  • Remove all rubbish items incl mattress protector
  • Wipe all furniture including desk, bookshelf, wardrobe and cupboards and mirror
  • Clean inside of window including sills and ensure windows are closed
  • Remove any residue and clean walls and skirting boards
  • Vacuum carpet (including under the bed)
  • Wipe skirting board, switches, power points, door handle & lock
  • Dust ceiling fan, if reachable
  • Lock the bedroom door before departing

  • Remove all personal possessions including food
  • Clean inside & outside of cupboards
  • Clean splash back (tiled wall) and rangehood
  • Wipe all bench tops
  • Clean stovetop to remove stains and build up
  • Clean inside & outside of convection oven/microwave
  • Clean inside & outside fridge freezer
  • Wash any dirty dishes, cutlery, cooking utensils etc.
  • Mop kitchen floor
  • Wipe skirting board
  • Remove garbage

  • Wipe/dust furniture
  • Wipe/dust vacuum couch/armchairs
  • Wipe skirting board, switches, power points, door handle & lock
  • Spot clean walls & blinds (scuff marks)
  • Vacuum all carpeted areas and wipe skirting boards
  • Dust ceiling fan, if reachable
  • Remove rubbish, sweep balcony
  • Clean internal glass in common area only (balcony sliding doors)
  • Clean out under stair storage areas (if applicable for your Village)

  • Remove all personal possessions
  • Clean and disinfect toilet/seat & lid
  • Clean mirror, leaving it streak free
  • Wipe skirting board, towel rail, toilet holder, soap holder, shelf, door handle & lock
  • Clean and disinfect washbasin
  • Clean and disinfect shower walls, floor and screen (if applicable) ensuring all mould, mildew and soap scum removed
  • Mop bathroom floor
  • Empty and clean bin
  • Clean exhaust fan/cover (where applicable)

On the day of your check out

Check Out time is strictly by 10:00am.

Failure to depart prior to 10:00am will result in additional fees.

TIP! You must return your apartment key, mailbox key (if issued) and swipe card to Village Reception by 10am on your check-out date. Failure to return your keys will result in a charge, which will be deducted from your Security Deposit/Bond.

  1. Settle any outstanding debt (you can view and pay any debt by logging into the online resident portal)
  2. Return your key/swipe card and parking permit (if applicable) to the Village Reception
  3. Sign the check-out register

  2. Collect a Departure Pack Envelope from Village Reception
  3. Write your details on the envelope and ensure all items on the Vacate Checklist are completed
  4. Place your key (s) in the envelope, seal and place in the After Hours Drop Box outside the Village Reception.
